Privacy Policy
Talisman Advisory Partners LLC (“talisman”, “we”, “us”) is a recruitment and executive search firm serving the energy, infrastructure, digital infrastructure, advanced manufacturing, investment and finance, legal, trading and technology, and cyber security markets in the United States. This Privacy Policy explains what personal information we collect, how we use and share it, how long we keep it, and the choices and rights you have.
It covers:
- the website at talismanap.com, including its contact and resume forms and the Research and media hub;
- the talisman portals on os.talismanap.com: Career Intelligence for candidates, Client Intelligence for clients, and the Contractor Hub for people placed on contract assignments;
- the personal information we handle when we recruit, whether you came to us through the Site, a job board, a referral, a professional network or a conversation with one of our consultants.
It does not cover the websites of clients, job boards or other companies we link to, which have their own policies. Our use of cookies is described in the Cookie Policy.
Effective date: November 2026.
The personal information we collect
Information you give us.
- Through the Site’s forms: your name, email address, phone number, company, job title, your message, a LinkedIn profile address if you add one, and your resume or CV (PDF or Word, up to 8 MB) with everything it contains, such as work history, education, qualifications and skills.
- In conversations with our consultants: your career history and goals, current and expected compensation, location and willingness to relocate, work authorization status, notice period, and anything else you choose to tell us. Calls with our consultants may be recorded and transcribed; the consultant will tell you at the start of the call.
- In the Career Intelligence portal: your profile, preferences and the information you confirm there.
- As a client contact: your name, title, employer, work contact details, the roles you ask us to fill, your feedback on candidates, and approvals and requests you make in the Client Intelligence portal.
- As a contractor: the documents and details needed to engage and pay you, including identity and work authorization documents, onboarding and compliance records, timesheets, expense claims and receipts, and tax and payment details.
Information collected automatically. When you use the Site or a portal we record standard server logs: your IP address, browser and device type, the pages you open and when, and errors. The Research and media hub reports which articles and videos were viewed, opened or played, with no cookie and no identifier. Cookies are described in the Cookie Policy.
Information from other sources.
- Clients and hiring managers, for example feedback on an interview or details of a role.
- References you give us.
- Professional networks and public professional sources, including LinkedIn, ZoomInfo and company websites, when we research people for roles we are recruiting.
- Job boards and application channels, including LinkedIn Easy Apply, when you apply to a role we posted there.
- Industrial and market data providers, for information about companies and projects, which can include the names and roles of people at those companies.
- Background check providers, only where you have agreed in writing to a check for a specific role.
We do not knowingly collect Social Security numbers, financial account numbers or health information through the Site. Where a client or an assignment requires such information, we ask for it separately and explain why.
How we use personal information
We use personal information to run a recruitment business, and for nothing unrelated to that:
- to assess your suitability for roles, present you to clients, arrange interviews and manage offers;
- to keep in touch about roles that fit you, the progress of a search, and market news you have asked for;
- to run contract assignments: onboarding, timesheets and expenses, invoicing clients, and paying contractors through our payroll provider;
- to report to clients on searches and assignments they have engaged us for, through the Client Intelligence portal and otherwise;
- to run, secure and improve the Site and the portals, including keeping records of who did what for audit and dispute purposes;
- to meet legal obligations, including employment, tax, anti-discrimination and record-keeping law, and to establish or defend legal claims.
How AI assists, and where people decide. Our systems use artificial intelligence, including models provided by Anthropic, to summarise recorded calls into notes, to read resumes and classify them by industry, function and skills, to suggest which candidates may fit a role, and to draft messages for our consultants. A consultant reviews these outputs; nothing is sent to a client, and no decision about your candidacy, pay or engagement is made, solely by automation. We do not allow our AI providers to use your information to train their models.
We do not use your personal information for advertising, and we do not sell it.
How we share personal information
Clients. We share a candidate’s details with a client only for a role, and we tell you before we submit you by name. Where we show a client an anonymised profile first, it carries no name or contact details. Clients see feedback, interview and assignment information for their own searches and contractors in the Client Intelligence portal, and nothing about other clients’ searches.
Service providers. Companies that process information on our behalf, under contracts that limit them to our instructions.
Professional advisers, such as lawyers, accountants and insurers, where they need it to advise us.
Legal and safety. Where the law requires it, to respond to lawful requests from public authorities, or to protect the rights, property or safety of talisman, our clients, candidates or others.
Business transfers. If talisman is sold, merged or reorganised, personal information may transfer to the new owner under this policy.
We do not sell personal information, and we do not share it with third parties for cross-context behavioral advertising. We may share information that cannot identify you, such as market statistics drawn from many searches.
Candidates and applicants
If you send us a resume, apply to a role we posted, or are approached by one of our consultants, you are a candidate, and this section is our notice to you at the point we collect your information.
What we collect and why. Your identity and contact details, your resume and career history, compensation and location preferences, work authorization status, and what you tell our consultants, to find roles that fit you and present you to clients with your agreement. We keep a record of each role we discuss with you and each client we present you to.
Your profile over time. We keep candidate records between searches so we can come back to you when a better role appears. You can ask us to stop at any time (see Your rights), and we will keep only what the law requires us to retain.
References. We take up references only with your agreement and only with the people you name.
Background checks. Some clients require a background check before a start date. We run one only with your separate written consent, for that role, through a provider that follows the Fair Credit Reporting Act, and you receive the disclosures and rights that law gives you.
Equal opportunity. We do not ask for, and ask you not to send, information about race, religion, health, disability or other protected characteristics unless a client’s lawful process requires it and you are told why. Where we gather diversity information for a client’s reporting, it is voluntary and kept apart from your candidacy.
Career Intelligence. The candidate portal shows you the information we hold, the roles you are in process for, and market insight drawn from aggregate data. Nothing in it identifies another candidate. Signing in needs only your email address; we do not store a password for it.
Clients, contractors and portal users
Client contacts. We hold the work contact details of the people we deal with at client companies, the roles they ask us to fill, and their feedback and approvals. Access to the Client Intelligence portal follows your company’s own records with us and is limited to your company’s searches and assignments. Your company may set roles for its users, such as who can approve timesheets or see rates. We may contact you about roles and services relevant to your work; you can opt out of marketing at any time.
Contractors. When you take a contract assignment through talisman we collect what is needed to engage, pay and insure you and to meet the client’s site requirements: identity and work authorization documents, signed agreements, onboarding and compliance records, timesheets, expense claims and receipts, and tax and payment details. Timesheets and expenses you submit in the Contractor Hub are shown to the client approver named for your assignment. Pay runs through our payroll provider.
Portal accounts and audit. Every action in a portal, such as a timesheet approval, a candidate feedback decision or a document download, is recorded with who did it and when. These records exist so that both you and talisman can see what happened, and to resolve disputes.
Staff access. talisman staff see personal information only as their role requires. An administrator reviewing the portal as a user sees exactly what that user sees, and the review is recorded.
How long we keep it and how we protect it
We keep personal information for as long as we have a reason to, then delete or anonymise it.
Where a law, a client contract or a legal claim requires a longer period, we keep the minimum needed for that purpose.
The Site and the portals are served only over encrypted connections. Portal sign-ins use single-use links or verified accounts, staff sign-in is protected against repeated password attempts, and sessions end when you sign out or after a set time. Access by talisman staff is limited by role and recorded. Our systems are hosted in US data centres with access controls, backups and monitoring, and our service providers are bound by contract to protect the information they process for us.
No system is perfectly secure. If we learn of a breach that affects your personal information, we will tell you and the relevant authorities as the law requires.
Your privacy rights
Several US states, including California, Texas, Virginia, Colorado, Connecticut, Oregon and others, give residents rights over their personal information. We honour these rights for everyone we hold information about, wherever you live:
- Access: to know whether we hold personal information about you, and to receive a copy of it in a usable format.
- Correction: to have inaccurate information corrected. Candidates can update most of their details in the Career Intelligence portal.
- Deletion: to have your information deleted, subject to records we must keep by law or to defend a claim.
- Opt out of marketing: to stop emails and calls about roles and services; every marketing email has an unsubscribe link.
- Opt out of sale, targeted advertising and profiling: we do no selling, no targeted advertising, and no profiling that produces legal or similarly significant effects, so there is nothing to opt out of; we will confirm this in writing if you ask. We honour Global Privacy Control signals.
- Appeal: if we decline a request, you may appeal by replying to our decision, and we will answer within the time your state’s law allows. You may also contact your state attorney general.
How to exercise them. Email legal@talismanap.com from the address we hold for you, or write to the address at the end of this policy. We will confirm your identity, usually by replying to the email we hold or through your portal sign-in, and answer within 45 days, extending once by 45 days if we need to and telling you why. An authorised agent may act for you with your written permission. We do not charge for requests, and we will never treat you differently for making one.

California residents have the rights listed in Your privacy rights, including the right to know, delete, correct and limit, and the right not to be discriminated against for exercising them. Under California’s “Shine the Light” law you may ask once a year whether we disclosed personal information to third parties for their own direct marketing; we do not.
Job applicants in California. This policy is also our notice at collection to applicants and candidates. We collect the categories above to evaluate you for roles, to present you to clients with your agreement, to comply with employment law, and to keep the records that law requires, and we keep them for the periods in How long we keep it.
Children, visitors from outside the United States, and other sites
Children. The Site and the portals are for working professionals and the companies that hire them. We do not knowingly collect personal information from anyone under 16. If you believe we hold such information, email us and we will delete it.
Outside the United States. talisman operates in the United States and keeps its information there. If you contact us from elsewhere, your information will be transferred to and processed in the United States under this policy, and US law will apply to it.
Other sites. The Site links to client websites, job boards, LinkedIn and other companies’ pages, and embeds videos from a third-party host. Their privacy practices are their own; read their policies before giving them information.
Changes and contact
We will update this policy when our practices change, and the effective date at the top will change with it. Where a change materially affects how we use personal information we already hold, we will tell the people affected by email or through the portals before it takes effect.
